Proofing a Document with Spell and Grammar Check
In the documents that you have created, you might have seen that some words or phrases are underlined either by a red or green wavy line. A red wavy line indicates that the word is not present in the Word’s dictionary. It might be a wrong spelling. It may also be a proper name such as ‘Homini, which would not be present in the dictionary. A green wavy line, on the other hand, signifies that the word or phrases are either grammatically incorrect or have some formatting problem.
Word has the two features of spell and grammar check clubbed into one. When you click on the Spelling and Grammar button, Word locates both spelling and grammar mistakes simultaneously. The task of doing the spelling and grammar check is a fairly simple one.
Spell Check:
When you check the spelling in a document, the check starts at the insertion point and proceeds downward from there. Word compares each word in the document to a standard, built-in dictionary. Certain spellings such as the name of a person, city’s name or some of the technical and scientific word will be marked as incorrect by the spelling checker as these words are not in the standard dictionary. For such frequently used spelling, Word allows you to create a custom dictionary, where you can add all such words. Therefore, next time when you want to spell check, these words will not be marked as misspells.
Grammar Check:
Word offers a very powerful feature of checking the grammar of the document, you have generated. The Grammar Checker identifies sentences in your document that have possible grammatical errors, or is a nonstandard writing style. In most of the cases the Grammar Checker suggests ways to correct the sentence constructing. You have the opting either choose the correction or ignore it. If you choose to carry out the correction, Word changes the sentences in your document. Alternatively, you can also make changes directly in your document and then resume checking.
