Meeting System
A Meeting System is a systematic process of formulating meetings and conferences. Meetings always occur face to face or virtually. Thus, a meeting may be differentiated from other gatherings, like a sports game or a concert or encounter or a party with friends and a demonstration.
Types of meetings:
Meetings are always held to conduct business, to deliver the required information to a team or to an individual, or to follow a particular activity. Meetings can be formal or informal according to its purpose. It can be short as a few minutes or it can stretch out for many days. When a meeting starches out for many days, then it is referred as a conference.
Informal meetings:
An informal meeting talks about daily activities. It is conducted in offices or a conference room. Informal meeting system does not involve complicated scheduling. The three types of meetings held in office are staff meetings, individual meetings and committee meetings.
Staff Meetings:
It plays a vital role in the operation of organization. The need of a staff meeting is to discuss and problem solving, decision-making, progress review, planning projects and to recognize their role in achieving the goals of an organization.
Committee Meetings:
This type of meeting is scheduled frequently by supervisors to study relevant information to a particular topic. It is commonly held in a room where committee members meet in office, through a telephone or a conference call or through electronic communication. If all the committee members are participated in the function, then the purpose of the meeting gets successful.
Client Meetings:
Client meetings play a vital role in business. These meetings are held according to the convenient timings of clients. It might be held in office or at a restaurant.
Formal Meetings:
Formal meetings consist of annual meetings, extraordinary meetings and board meetings. It may also be held in office or at another location. A formal meeting always requires high preparation. Moreover, Location is very important in formal meetings to attend and structure the meeting.
Annual Meetings:
The annual meetings always provide the opportunity to elect the office pupils for the upcoming year for the organization to state the future strategies. The calling and holding such meetings are placed according to the companies Act. During these meetings reports are delivered usually.
Extraordinary Meeting:
This is an additional meeting system which is required to discuss some unexpected events of all members according to the regulations of act.
Board Meetings
These meetings are held throughout the year. They are used to approve financial and to take respective decisions from the management of a company.
