Front Office Operations:

Front office is a business term that refers to a company's departments that meet clients, counting the marketing, sales, and service departments. The Front Office role of a Hotel is to act as the public face of the hotel, primarily by greeting hotel patrons and checking in guests. It provides assistance to guests during their stay completes their accommodation, food and beverage, accounts and receives payment from guests.

The first hotel employee who comes in contact with most guests when they arrive is members of the uniformed service, division of the front service. The first impression is very important. Front Office Department is typically composed of 1) Reception 2) Reservation 3) Concierge 4) (phone service system)

Front Office Manager: supervise the front desk, reservations, concierge and PABX, assists in training, monthly planning and assisting the room manager.

Front Desk Supervisor: supervise the front desk procedure that include check-in and checkout, assist the group coordinator, and prepares monthly weekly reports of employee.

Reception: provides the first initial contact with the guests. They handle registration process, checkout procedures of guest, answering the front office calls, coordinate and maintain work well with other departments.

Reservation: supervise and administer all the operations of the reservations area. The person responsible must assure that all reservations, both group and individual, are recorded.

Concierge: is to serve as the guest’s liaison with both hotel and non-hotel services. such services are common in European hotels.

Telephonic service: responsibility of a telephone operator is that of transferring calls also answering calls. Answers inquiries of hotels.

Guest Relations Officer: make guests feel welcomed. Handle guest problem and complaints. Take care of VIP’s and frequent guests.

Front Office Cashier: Prepare and settle of guests accounts. manage the safe deposit boxes.

Front Office is the "nerve center" in the entire hotel operations. All the transaction passes through within this department. Front Office:   Maintain, Provide information, Coordinate guest services, guestrooms   Maintain guest, accurate room statistics, and room key inventories account statements and complete proper financial settlements. Reservation:   With technology development, the Reservation, overnight accommodations.  Department can, access the number and types of rooms available, various room rates, and furnishings, along with the various facilities existing in the hotel.

A significant aspect of Front Office Personnel is providing a good first impression to the guests. Each section of front-office service consists of numerous employees, as well as the chief manager. Front office includes booking department, luggage delivery service, commutation department and cashing department. Front-office service in small hotel is normally narrowed to administrator and porter. As to big hotels, front-office service is often multilevel and divided. Each department consists of three to five people.

Work in the front office is extremely tiring. Front-office service works in the round-the-clock mode, with daytime, evening and night shifts. Front-office service specialists are required to have a good understanding of room booking process and take part in guest settlement. They should be able to resolve conflicts with customers and often demonstrate outstanding diplomacy, even in cases, when eccentricity of clients goes beyond the common sense.
